How it works

From the first call to a closed month, step by step.

Getting started takes about 20 minutes of your time. After that, each month asks for one short question form, answerable from your phone.

Getting started

Six steps to your first package.

  1. Step 148 hours

    The free review

You give us accountant access, which we only read. Within 48 hours you have a short written report: what is at stake, the five findings that matter most, and the fix. How the review works.

  2. Step 215 minutes

A short call, if you want one

We walk through the report together and answer your questions. No pressure, and no obligation.

  3. Step 3Same day

    The engagement letter

If you decide to go ahead, the letter comes the same day. Its first page sums up the deal: what you get, what it costs, what we need from you, and how to stop. You can sign it from your phone, together with the consent the IRS requires for the software we use on your return.

  4. Step 4About 20 minutes

    The welcome checklist

Six one-time setup items. You never give us a password.

    • Accountant access to your accounting file.
    • Statement delivery or view-only access for every bank and card account.
    • Accountant access at your payroll provider.
    • The latest loan and lease statements and your insurance declarations pages, uploaded to your secure folder.
    • Who answers the monthly question form, and who approves anything touching cash.
    • Authorizing the monthly bank draft.
  5. Step 5If needed

    The clean-up

If the review found books that need catching up, we do that first at the fixed fee in your letter, and send a before-and-after page. We also review your chart of accounts and send a short list of proposed fixes; nothing changes until you say yes.

  6. Step 6Date in your letter

    Your first package

Your letter names the first month we close and the date its package arrives. After that, every month by business day 8, guaranteed.

Every month

Day 1 to day 8.

Our target is day 3. Days 4 to 8 are the buffer that makes the guarantee safe to give.

Pull, code and reconcileOur target dayBufferGuaranteed by 6 p.m. Eastern
  1. Day 1

    Pulled and coded

Bank, card, payroll and loan activity pulled and coded by your rules. You get a two-minute phone form with the handful we cannot place.

  2. Day 2

    Reconciled

Every bank, card, loan and payroll account reconciled to its statement, with a workpaper. Prepaids, depreciation and loan interest scheduled. Every estimate labeled.

  3. Day 3

    Checked and sent

Bart checks every reconciliation. The page and the workbook go out. This is our target day.

  4. Days 4 to 8

    The buffer

A late statement or an unanswered question does not move the business day 8 date. The page shows the open items and who they wait on, and they are cleared the following month.

What we need from you

Three things, every month.

These three are also what the day 8 guarantee depends on. If we miss business day 8 for a reason on our side, 10 percent comes off that month's fee.

  1. Statements by the end of business day 2

Most banks can send them to us automatically, or a feed or a view-only login does the job. You set it up once.

  2. Answers to the question form

By noon on business day 2 if you can, and within 2 business days of any question we send. It works from your phone.

  3. A heads-up on anything new

New bank accounts, loans, leases, equipment, lawsuits or tax notices, as they happen.

Across the year

The calendar, so nothing surprises you.

Every month

The package by business day 8. In Close + Controller, your Florida sales tax return arrives at least three business days before it is due, for you to approve and file.

Every quarter

A call on the numbers in Close. In Close + Controller and Close + CFO, the call is monthly.

January

A short year-end intake, about 20 minutes, through a secure upload link. Never by email.

Tax season

The business return prepared from the books we closed, for you to review and sign before we file. Included for every year we close in full.
