Services

The finance department your company needs, without hiring one.

A monthly close you can count on, a clean-up when the books have drifted, and the year-end return from the same people who kept the books all year.

The monthly close

Every month, the books closed, reconciled and explained.

This is the core of every package. It runs on your accounting system, whichever one you use: QuickBooks Online first, and QuickBooks Desktop, Xero, Sage, NetSuite and spreadsheets are welcome.

What we do each month

  • Record your transactions from bank, card, payroll, merchant and loan activity, using coding rules we agree with you.
  • Reconcile every bank, credit card, loan and payroll liability account to its statement.
  • Record the recurring entries: prepaid expenses, depreciation, loan interest and the accruals you have approved.
  • Keep your fixed asset and loan schedules current.
  • Send you a short question form, answerable from your phone, with the handful of items we cannot place.

What you receive by business day 8

  • A one-page owner summary: cash, what moved and why, who owes you, who you owe, what needs your decision.
  • Profit and loss for the month and the year to date.
  • A balance sheet with the reconciliation status of every account.
  • Receivables and payables aging.
  • A 13-week cash estimate where the data allows.
  • The open items and the decisions needed, with who each one waits on.

These are management reports you may share with a lender. They are prepared from your own records with no assurance, and each statement page says so.

8business days
The day 8 guarantee

Closed and reconciled by 6 p.m. Eastern on the 8th business day after month end.

If we miss it for a reason on our side, we take 10 percent off that month's monthly fee. Business days are Monday to Friday, federal holidays excluded. Our own target is day 3; days 4 to 8 are the buffer.

What it depends on

Every bank, card, loan and payroll statement for the month, or the feed or export that replaces it, is available to us by the end of business day 2.

Each question we send you is answered within 2 business days. We ask for the monthly question form by noon on business day 2 so the close can finish early.

What counts as on our side

Everything within our control: our people, our schedule, our software, our review, and any question we did not ask in time. A question we first send after business day 5 never counts against you.

Not on our side: a statement or answer that arrives late, access you removed and did not restore within a business day of our asking, a pause for an unpaid fee, or an event like a hurricane or a full-day outage of your bank or accounting system.

How the credit works

For a month delivered late for a reason on our side, the credit is 10 percent of that month's monthly package fee. We apply it without your having to ask, on the next invoice, which names the month and the reason.

It applies to the monthly fee only, at most once for any month. If a statement is late, you still get the package by day 8 with an open items page.

The full wording is term 4 of our monthly engagement letter, which governs.

Three packages

Pick the level of help, not a pile of hours.

Each package is a flat monthly fee set by your volume and what you need. Every one includes the close by business day 8, guaranteed, and the year-end business return for every year we close in full.

Close

The books, closed and explained.

For a company that needs reliable numbers every month. From $1,950 a month, set by your volume. One company.

  • The monthly close and the owner page
  • A quarterly call to walk through the numbers
  • The year-end business return

Close + Controller

The close, plus someone minding the money.

For a company with receivables, payables, payroll and sales tax to keep straight. From $2,500 a month, set by your volume. One company.

  • Receivables and payables tracked, aged and followed up: we list who to chase and draft the reminders, and you or we send them with your approval
  • Sales tax returns (Florida DR-15; other states quoted) prepared each filing period for you to approve, file and pay from your own Department of Revenue account
  • Payroll liabilities tied out to your payroll provider's filings
  • Inventory kept on the balance sheet from your counts
  • Job, product or customer margin
  • A monthly call, and management reports you may share with your lender

Close + CFO

The controller work, plus a look ahead.

For a larger or more complex company. By arrangement, from $4,750 a month, quoted after the free review. One company.

  • Everything in Close + Controller
  • Inventory costing: several locations, landed cost, e-commerce
  • A rolling 13-week cash forecast and a 12-month budget
  • Reports for your bank, board or bonding agent, prepared from your books without an accountant's report
  • Finance advice each month; each additional company is quoted separately

Clean-up projects

Books that have drifted, brought current at a fixed price.

If the review shows the books need catching up, we quote a one-time clean-up before the monthly work starts. You can also hire us for the clean-up alone.

  • The accounts and months in the quote reconciled to their statements, missing and duplicated items corrected.
  • Parked balances cleared: Uncategorized, Ask My Accountant, Opening Balance Equity, Undeposited Funds.
  • Owner items, equipment and loan payments moved out of expenses; asset, depreciation and loan schedules set up.
  • Receivables and payables agreed to what is really owed, with any write-offs listed for your approval.
  • Payroll and sales tax liabilities tied to the filings.
  • A before-and-after page and a corrected profit and loss and balance sheet.

The price is $450 for each account for each month that needs catching up, plus $750 for each larger fix the review lists, with a minimum of $1,500. Half when you sign, half within ten days of the before-and-after page. If we find something the review missed, we stop and quote it first.

The year-end return

The business return, included. No separate March bill.

Because we closed the books all year, the return is prepared from numbers we already know. It is included in every package for every year we close in full. A month brought current in a clean-up counts as closed.

What is included

  • The federal business return: Form 1120-S for an S corporation, Form 1065 for a partnership, Form 1120 for a C corporation.
  • For a single-member LLC, the owner's Form 1040 with the business schedules, when the personal side is simple.
  • The Florida corporate income tax return (F-1120) if the company must file one.

You review and sign the return and the e-file authorization before we file. Owners' personal returns, a prior-year return, amended returns and answering a notice or an examination are quoted separately, in writing.

Plain about the limits

What we do not do.

  • We do not audit, review or compile financial statements. If a lender needs statements with an accountant's report, that is a separate engagement with its own letter.
  • We do not run payroll. Gusto, ADP, Paychex or QuickBooks Payroll keep doing that, and we tie each payroll and its tax filings back to the books. Running it is a separate quote.
  • Paying bills and sending invoices stay with you unless added in writing.
  • We never pay anyone, email your customers, file a return or change your chart of accounts without your approval. Judgment calls are yours to decide.
